Privacy Policy
In short
- This site uses no cookies, does not profile visitors and uses no analytics or advertising tools.
- We collect personal data only when you provide it yourself - through the contact form, by email or by phone.
- We use it only to answer your enquiry and, where relevant, prepare a quote. We neither sell it nor pass it on for marketing purposes.
- You can request access to your data, its correction or deletion at any time - a message to kontakt@n1solutions.pl.
1. Who is the controller of your data
The controller of personal data is N1Solutions, Adama Branickiego 11/107, 02-972 Warsaw, Poland, VAT ID PL 526-276-78-40.
Contact for data protection matters: kontakt@n1solutions.pl, tel. +48 728 923 302.
We have not appointed a data protection officer - we are not required to. All data processing matters are handled directly by the controller.
2. What data we collect
Contact form
When you submit the form, you provide us with:
- your full name and email address - required fields; without them we cannot reply;
- company name and phone number - optional fields;
- enquiry type and message content, that is, whatever you choose to write;
- IP address and the time of sending - attached automatically to limit spam and abuse.
The form stores nothing in any database - the message goes straight to our mailbox. All that remains on the server is a hashed IP address used to rate-limit submissions from a single address; it is deleted automatically after one hour.
Email and telephone contact
If you write or call us directly, we process the data contained in that correspondence: email address, phone number, name and whatever you share in the conversation or message.
Technical data
The server running this site keeps standard access logs: IP address, date and time of the request, the page visited and browser information. This is technical data required to operate the site and detect abuse. We do not combine it with form data and do not use it to identify individuals.
3. Why and on what legal basis we process data
| Purpose | Legal basis | Retention period |
|---|---|---|
| Answering your enquiry and handling correspondence | Art. 6(1)(a) and (f) GDPR - your consent and our legitimate interest in replying | Until the correspondence ends, then up to 12 months |
| Preparing and presenting a quote | Art. 6(1)(b) GDPR - steps taken at your request before entering into a contract | Up to 24 months from the last contact |
| Performing the contract and invoicing | Art. 6(1)(b) and (c) GDPR - performance of the contract and tax and accounting obligations | For the term of the contract, then 5 years from the end of the tax year |
| Site security and spam protection | Art. 6(1)(f) GDPR - our legitimate interest in keeping the site secure | Hashed IP address: 1 hour. Server logs: up to 30 days |
| Establishing, exercising or defending legal claims | Art. 6(1)(f) GDPR - legitimate interest | Until the limitation period for claims expires |
Providing data is voluntary, but without a name and email address we cannot answer your enquiry.
4. Who we share data with
This site and our email run on the controller’s own infrastructure. We use no external hosting and no cloud email services, so your correspondence is not entrusted to any third party.
Apart from the controller, data may be accessed only by:
- our accountants and legal advisers - to the extent needed for invoicing and legal support, where a contract has been concluded;
- public authorities - only where disclosure is required by law.
We have a data processing agreement in place with every entity that processes data on our behalf. We do not sell data and do not share it with third parties for marketing purposes.
5. Cookies and third-party tools
This site stores no cookies. We use no Google Analytics, no tracking pixels, no advertising systems and no profiling tools. We show no cookie consent banner because there is nothing to consent to.
Your browser’s local storage holds exactly two pieces of information, both triggered by your own action: your chosen colour theme and your acknowledgement of the privacy notice, so that it is not shown on every visit. Neither is personal data, neither reaches our server and neither can identify you. You can remove both at any time by clearing site data in your browser. No consent is required for them, as they serve only a function you asked for yourself.
The site also embeds no content from external services. Every asset - stylesheets, scripts, images and the typeface - is served from our own server, so visiting the site does not disclose your IP address to any third party.
6. Your rights
In connection with the processing of your data you have the right to:
- access your data and to receive a copy of it;
- rectification of inaccurate or incomplete data;
- erasure of data where there is no basis for continued processing;
- restriction of processing;
- data portability to another controller;
- object to processing based on legitimate interest;
- withdraw consent at any time, without affecting the lawfulness of processing carried out beforehand;
- lodge a complaint with the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw, Poland) if you believe we process data unlawfully.
To exercise any of these rights, write to kontakt@n1solutions.pl. We respond without undue delay and no later than one month from receiving the request.
7. Data security
We apply technical and organisational measures proportionate to the risk: encrypted transport (HTTPS), access control on mailboxes, multi-factor authentication and storage of credentials in an encrypted password manager. Correspondence is accessible only to those who need it in order to reply.
8. Automated decision-making
We make no automated decisions about you and carry out no profiling.
9. Changes to this policy
We update this policy when the way the site works or the law changes. The current version is always available at this address, and its effective date is shown at the top of the document.
The formal information clause is set out in our Data Processing Notice.
